Rent reminder templates: friendly texts and emails for every stage

Most late rent is not a tenant refusing to pay. It is a tenant who forgot, got paid on a different day this month, or is waiting on a transfer. A short, friendly message at the right time fixes most of it. Below are copy-and-paste rent reminder templates for each stage, from a heads-up before the due date to a firm final message, plus a few rules about tone and timing that keep the relationship intact.

When to send each reminder

A simple sequence works for most small landlords:

  1. A few days before rent is due: a friendly heads-up with the amount and how to pay.
  2. On the due date (optional): a short note for tenants who usually pay late.
  3. After the grace period ends: a clear message that rent is late, with the balance and any late fee your lease allows.
  4. About a week later, if still unpaid: a firm final message that asks for payment or a conversation by a specific date.

Send reminders the same way every month to every tenant. Consistency keeps it from feeling personal, and it helps you show you treat tenants the same way.

Template 1: friendly reminder before rent is due

Text message:

Hi [Name], a quick reminder that rent of $[amount] for [month] is due on [date]. You can pay here: [payment link]. Thanks!

Email:

Subject: Rent reminder: $[amount] due [date]

Hi [Name],

This is a friendly reminder that rent for [month] at [address] is due on [date]. The amount is $[amount].

You can pay online here: [payment link]. If you have already paid, thank you, and you can ignore this message.

[Your name]

Template 2: rent due today

Hi [Name], just a reminder that rent of $[amount] is due today. Here is the link if you need it: [payment link]. Thank you!

Keep this one short. Many landlords skip it for tenants who always pay on time and use it only for those who tend to run late.

Template 3: rent is late

Subject: Rent for [month] is past due

Hi [Name],

Our records show that rent of $[amount] for [month], due on [due date], has not been received. Under your lease, a late fee of $[fee] applies after [grace period end date], so the current balance is $[total].

You can pay here: [payment link]. If you have already sent payment, please reply with the date and method so I can match it up. If something has come up, let me know and we can talk about it.

[Your name]

Only mention a late fee your lease actually includes and your state allows. Our late rent fee laws by state guide covers caps and grace periods.

Template 4: final reminder

Subject: Second notice: rent balance of $[total]

Hi [Name],

I have not yet received rent for [month]. The balance is now $[total], including the late fee under your lease.

Please pay by [date] using this link: [payment link], or contact me before then to discuss a plan. If I do not hear from you by [date], I will need to take the next steps allowed under the lease and state law.

[Your name]

Template 5: payment received

The message landlords forget. A thank-you after payment costs nothing and makes the next reminder feel less like a demand.

Hi [Name], rent of $[amount] for [month] was received on [date]. Thank you!

Tone rules that keep reminders working

A reminder is not a legal notice

These templates are courtesy messages. If rent stays unpaid and you need to start the formal process, most states require a specific written notice (often called a notice to pay or quit) with particular wording, timing and delivery rules. A text or friendly email usually does not count. Check your state's requirements, or talk to a local landlord-tenant attorney, before relying on any message as formal notice. Our guide to handling late rent covers the steps in between.

Let the reminders send themselves

Writing a good reminder is easy. Remembering to send it every month, to every tenant, at the right time is the hard part. In RentMerchant:

That covers templates 1, 3, 4 and 5 without you sending a thing. The Free plan covers up to three properties. Create a free landlord account or see the full feature list.

Frequently asked questions

How do you politely remind a tenant to pay rent?

Send a short, factual message a few days before the due date with the amount, the due date and a payment link, for example: Hi [Name], a quick reminder that rent of $[amount] for [month] is due on [date]. You can pay here: [link]. Thanks! Send it the same way to every tenant every month so it never feels personal.

When should a landlord send a rent reminder?

A simple sequence works for most landlords: a friendly reminder a few days before rent is due, an optional note on the due date, a late notice after the grace period ends, and a firm final reminder about a week later if rent is still unpaid.

Is a rent reminder text a legal notice?

Usually not. Before an eviction, most states require a specific written notice, often called a notice to pay or quit, with set wording, timing and delivery rules. A friendly text or email is a courtesy message. Check your state requirements or ask a local landlord-tenant attorney.

What should a landlord not say in a late rent message?

Never threaten something you cannot legally do, such as changing the locks, shutting off utilities or removing belongings to force payment, which is illegal in most states. Stick to facts: the amount, the balance, any late fee your lease allows, and how to pay.

Can rent reminders be sent automatically?

Yes. In RentMerchant, each month's invoice is emailed a set number of days before the due date, overdue reminders go out automatically after the number of days you choose and repeat weekly while the invoice is unpaid, and tenants get a receipt when they pay online.
